This policy describes how we handle personal information when you use our site or submit an inquiry about our marketing services.
Information we collect
When you complete the contact form, we collect your name, email address, phone number, and any optional details you choose to provide, such as your business name, website or social media profile, and a brief business description. We also collect your consent to this Privacy Policy and our Terms and Conditions. When available through your browser or referral link, we capture marketing attribution data, including utm_source, utm_medium, utm_campaign, utm_term, utm_content, gclid, fbclid, referrer, the landing page URL, OpenAI click attribution information such as oppref, first-party advertising attribution identifiers, and conversion event identifiers. Our server also creates a one-way hashed representation of your IP address for anti-spam and rate-limiting purposes; the raw IP address is not retained or displayed.
How we collect information
We collect information directly from you when you enter it into the contact form and submit it. Marketing attribution data is generated from the URL parameters and referral information present in your browser at the time of submission. Attribution information may also be collected through the OpenAI Pixel, first-party browser storage or cookies, URL parameters, and server-side conversion measurement when a form is successfully submitted. The hashed IP address is derived automatically by our server when your form submission is received.
How we use information
We use the information you provide to respond to your inquiry, evaluate whether our services may be a fit, and communicate with you about potential next steps. Attribution data helps us understand which marketing channels drive inquiries. The hashed IP address is used only to enforce submission limits and reduce spam. We do not sell your personal information for monetary consideration, and we do not use it for newsletter subscriptions, SMS marketing, or advertising pixels beyond what is described here.
Advertising measurement and attribution
We use OpenAI advertising measurement technologies, including the OpenAI Pixel and Conversions API, to understand whether advertising shown through ChatGPT results in inquiries submitted through our website. When a visitor arrives through a ChatGPT advertisement, OpenAI may provide a first-party advertising attribution identifier, such as an OpenAI click reference (oppref), which may be stored through first-party browser technology and associated with a later conversion. When a contact form is successfully submitted, we may send a conversion event to OpenAI for advertising measurement and campaign optimization. Where available and permitted, we may also use normalized and SHA-256 hashed contact information, such as an email address or phone number, to improve conversion matching. Raw email addresses and phone numbers are not sent to OpenAI through our server-side advanced matching implementation. OpenAI conversion measurement data is used to measure advertising performance, attribute inquiries to eligible advertising interactions, and improve campaign optimization. We use this information only as permitted by applicable law and our advertising service agreements.
Lead storage and email notifications
When you submit the contact form, your information is stored in our project database. After a lead is stored, our system sends a notification email to highpointdigitalco@gmail.com. That email contains the contact and business details you provided, the marketing attribution data available at submission, the assigned lead ID, and the submission timestamp. It does not include your raw IP address or the hashed IP value.
Service providers and disclosure
We rely on a limited number of service providers to operate this website, host the database, send email notifications, provide infrastructure and security services, and measure advertising performance. We use OpenAI advertising measurement technologies to measure ChatGPT Ads performance and conversions. These providers process data only as needed to perform services on our behalf and are not authorized to use it for their own purposes. We may also disclose information if required by law or to protect our rights or the safety of others.
Data retention
We retain submitted lead information for as long as necessary to respond to your inquiry, evaluate potential services, maintain records of our communications, and comply with legal obligations. When information is no longer needed for these purposes, we delete it or de-identify it, unless a longer retention period is required by law.
Security
We use reasonable administrative, technical, and physical safeguards to protect the information we collect. These include access controls, encrypted connections, and hashed IP addresses. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Your privacy rights and choices
Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information, or to withdraw consent where applicable. Because our services are business-to-business marketing inquiries, most requests relate to correcting or deleting a submitted lead.
